Sales catalogue
The sales catalogue is a sales tool that shows all products on sale, their prices and availability on one page. From the catalogue you can also download a PDF sales catalogue to send to a customer, sales representative or reseller.
You will find the sales catalogue in the main menu under the name catalogue. Users with the salesperson role see only the catalogue, customers and shipments in the main menu (see Accounts and users).
Catalogue page columns
The page lists all active products. Products removed from the range are not shown. Available products are shown first, and within each group the products are in alphabetical order. For each product the page shows:
- Product: the product's name, package and alcohol content. If a default sales catalogue image has been set for the product, its thumbnail is shown next to the name.
- General price: the product's current general price including VAT.
- In stock: the product's stock balance in units.
- Ordered: the number of units in shipments whose status is awaiting picking. These products are still in the stock balance, but they have already been promised to customers. Shipments in draft status are not counted here.
- Available: the difference between the quantity in stock and the quantity ordered. Availability can be negative (in red), meaning there are more orders than products in stock.
- Incoming: the quantities expected from confirmed, unfinished production batches. The quantities come from the production batch's packaging plan, and the timing is shown as week/year (the week in which the production batch's last step ends).
Downloading the PDF sales catalogue
In the PDF catalogue the products are grouped by beer: for each beer it shows the name, alcohol content, description and image, and below them the beer's different packages with their prices. The description and image come from the product's Marketing tab: the image used is the file marked as the default image (see Products).
- Open catalogue. The catalogue's settings are on the Settings card at the top of the page.
- Choose the Pricing: General prices or a customer group (For customer group …). In a customer group's catalogue, a product shows the customer group's price, or the general price if there is none.
- Under Orders, choose the contact that is printed in the catalogue's Orders section (see below). The first saved contact is selected by default.
- If needed, choose the Catalogue language (Finnish, English or Swedish). The catalogue's texts are printed in the chosen language, and the product description is taken from the translation in that language if the product has one (see Products).
- Choose the products to include with the checkboxes on the left of the table. By default the products that are available are selected. You can speed up the selection with the buttons:
- Select all and Remove all
- Remove those over 8.0%
- Remove unavailable
- Remove low fill
- Remove package type: deselects all products of the chosen package type.
- Choose what the catalogue shows:
- Show EAN codes: the product's EAN code and barcode (on by default).
- Show stock levels: the available quantity and incoming batches (on by default).
- Show prices incl. VAT: by default the prices in the PDF exclude VAT (VAT 0). Choose this if you want prices including VAT.
- Press the Download PDF button at the top of the page. The catalogue opens in a new tab.
Customer-specific catalogue with contract prices
When you want to send a customer a catalogue with their own prices:
- Open the customer from the customers list.
- Choose the Contract price list tab.
- Choose the Orders contact, the products and the details to show as above.
- Press Download sales catalogue.
In a customer-specific catalogue the product's price is the customer's contract price, if there is one. Otherwise the price of the customer's customer group is used, and finally the general price. In a customer-specific catalogue the prices always exclude VAT.
Order contact details
The last page of the catalogue has an Orders section that tells who orders should be sent to. You can save your salespeople's contact details and choose, when downloading the catalogue, whose details are printed.
- On the catalogue page, press the link Add or edit contact details.
- In the Add contact form, fill in at least Name and, if you wish, Title, Email and Phone.
- Press Add contact.
Saved contacts can be edited directly in the table (Save changes) or a row can be removed with the cross button. If you do not choose a saved contact (Orders: company details), the catalogue uses the sales contact details saved in the company details.
