Daily routines in BrewOS

BrewOS works best when information is recorded as close as possible to the moment the work happens. The purpose of this guide is to help you build a clear daily rhythm: what to check in the morning, what to record during the work and what to make sure of at the end of the day.

You do not need to follow the guide mechanically. Pick the points that suit your own production and make them a shared practice in your company.

Morning checks

Start the day by opening the account's home page. Its Snapshot shows at a glance the unfinished shipments by status, missing information, the approaching deadlines of reports to the authorities and the next production steps.

In addition, go through at least these:

  • Task lists: what tasks have been assigned to each person for this week. There is no link to the task lists in the main menu. Open them by adding /tyolistat after the account number in the account's address in the browser's address bar (for example https://brewos.fi/123/tyolistat, where 123 is your account number). In the new look you can also get to them with the Task lists button on a single work order's page. A production batch's own tasks can be found on the production batch's Tasks tab.
  • Unfinished shipments: are there orders waiting for picking or for being marked as delivered. From the shipment tiles in the Snapshot you can go straight to the shipments in each status. In the new look, on the Awaiting picking filter, the Create picking list button gathers the products of the shipments you select into one list by product, which you can print for the warehouse.
  • Stock balances: are there enough finished goods for the day's shipments and enough ingredients for the planned productions.
  • Invoicing: are there delivered but uninvoiced shipments (the Not invoiced filter on the shipments page in the main menu) or open accounts receivable that need action.

If several people use the same BrewOS account, it is worth doing the morning check always from the same view and in the same way. Deviations then stand out quickly.

During production

The most important thing in recording production is to keep the events in order:

  1. Create or start the production batch before you begin recording events related to it.
  2. Record measurements and notes for the production batch when they occur.
  3. Allocate and consume ingredients according to actual use in production.
  4. Record packaging only once the packaged quantity and package format have been confirmed. Recording packaging into stock consumes the account's BrewOS licence litres.

If some information is not yet certain, use a note rather than a guess. An estimate that has to be corrected later can affect reports, stock balances and costs.

Handling shipments

In shipments it is worth keeping three things apart:

  • The order tells what is intended to be delivered to the customer.
  • Picking records from which warehouse and from which batches the products are taken, and deducts them from the stock balance. The shipment moves to the status awaiting delivery.
  • Marking as delivered creates the necessary tax events and consumes the account's BrewOS licence litres. If the BrewOS licence is not sufficient, the shipment cannot be marked as delivered.

Do not mark a shipment as delivered before the products have actually left for the customer. Marking as delivered affects reporting, so it is good to keep it at as precise a moment as possible.

End of the day

At the end of the day it is worth doing a short check:

  • Have all of the day's production and packaging events been recorded?
  • Have the picked shipments either been delivered or clearly left waiting?
  • Has a note or stock correction been made for exceptions, breakages or losses?
  • Have the delivered shipments been invoiced with the shipment's invoice button or, if the invoice was made elsewhere, marked with Mark as invoiced?
  • Does the event log look as if the day's most important actions can be traced?

Even a short end-of-day routine reduces later investigation. Especially at the turn of the month, small daily checks make it easier to go through the reports to the authorities.

A good rule of thumb

Record in BrewOS whatever you want to be able to prove or investigate later. This applies especially to stock balances, packaging, shipments, customer returns and events that affect reports to the authorities.
