Pricing

Pricing means the pricing of the products stored in BrewOS. A price is always given for a product, i.e. a particular package, as a unit price.

Price types

A product can simultaneously have in force

  • one general price,
  • one customer group price for each customer group and
  • one contract price for each customer.

When a product is added to a shipment, BrewOS looks up its price in this order:

  1. the customer's contract price, if there is one, otherwise
  2. the price of the customer's customer group, if the customer belongs to a group and the group has a price, otherwise
  3. the general price.

A new price takes effect immediately when saved and replaces the earlier price of the same type. Earlier general prices remain visible in the product's price history.

Where prices are set

  • General price: on the Pricing tab of the product's page with the button Set general price, or in the products list by clicking the product's General price column. The tab also shows the history of general prices.
  • Customer group price: in the products list. Choose the group from the heading of the list's last column and click the product's price in that column. An existing group price can also be edited on the product's Pricing tab by clicking it.
  • Contract price: on the Contract price list tab of the customer's page by clicking the product's Contract price column. The same tab also lets you edit general prices and the prices of the customer's customer group. An existing contract price can also be edited on the product's Pricing tab. See Customers.

A user with the salesperson role can set contract prices only (see Accounts and users).

The price is edited in the Edit price window:

  1. Enter the price either in the field Price, euros (VAT 0) or in Incl. VAT. The other field is calculated automatically.
  2. Press Set.

Price details

Every price consists of two parts:

  • the unit price excluding VAT, handled to the precision of one cent, and
  • the VAT rate, which comes from the product's VAT class setting (e.g. the standard rate of 25.5 %).

The price excluding VAT is always decisive: the price including VAT is calculated from the price excluding VAT and rounded to the cent. Because of this, not every price including VAT can be reached exactly.

Example: the product's price including VAT (VAT 25.5 %) should be exactly 5.00 euros. Calculating €5.00 / 1.255 gives a price excluding VAT of 3.98 euros. That, however, gives a price including VAT of 3.98 × 1.255 = 4.99 euros, and the next possible price excluding VAT, 3.99 euros, gives 3.99 × 1.255 = 5.01 euros.

Shipment prices

When a product is added to a shipment, BrewOS sets the row's price to the unit price determined by the order described above, multiplied by the quantity. You can edit the row price or the unit price excluding VAT for each shipment. Once the price has been edited, you can choose how the edited price is used:

  • Use this price for this order only,
  • Set the edited price as this customer's contract price or
  • Set the edited price as the new general price.

Discount percentages

BrewOS can show the customer the discount percentage applied on the invoice, for marketing purposes. The shipment and invoice rows then show the full price (list price) and the discount % separately, and the row's actual price is the discounted price, which is also what is invoiced and from which VAT is calculated.

The discount is always determined by the most specific level:

  1. Row discount – a discount % given for a single product row (the field Discount % when adding a product).
  2. Order discount – a discount % given for the whole shipment (the field Order discount % and the button Update discount in the shipment view).
  3. Customer's permanent discount – a discount % saved for the customer, applied automatically to all of the customer's orders.

The most specific level given wins: a row discount overrides the order discount, which overrides the customer's permanent discount. If a row is given its own price by hand, it is treated as the final net price and no discount is added on top of it.

The customer's permanent discount is set on the customer's Contract price list tab under Permanent discount. The order discount is updated on all rows that have not been separately priced or discounted. Discounts are carried over from the shipment to the invoice as they are.

The discount is also shown on the electronic invoice (ProCountor, Netvisor, Maventa/Finvoice). The total invoiced is always the same as in BrewOS; still, check for each operator that the discount appears the way you want.
