Customer invoicing

If you do your invoicing in BrewOS, the Invoicing tab of the customer's page shows all invoices created for the customer. You can create a new invoice for the customer with the button new invoice on the customer's page.

Customer-specific payment terms

At the top of the tab is the field Customer-specific payment terms (days). Give the customer their own payment terms and press Save. The payment terms are used in all invoices created for the customer from now on. If the field is empty, the customer group's payment terms or the default payment terms of the invoicing settings are used. The payment terms of invoices already created do not change.

Invoice list

The list shows the customer's invoices and credit notes:

  • Number, Date and Due date,
  • Status – the invoice's sending status (see Invoicing, section Sending status),
  • To pay – the invoice total including VAT.

Drafts are shown in grey with the mark invoice draft or credit note draft. Cancelled invoices are not shown in the list. When there is more than one invoice, the invoices' Total is shown above the list. Clicking a row opens the invoice.

If the account's invoicing system is Maventa, ProCountor, Netvisor or Fennoa, the list also shows the columns Payments (payments allocated to the invoice) and Open (the unpaid portion), and their totals are also shown above the list. When ProCountor, Netvisor or Fennoa is used, the payment details are fetched from the financial management software, and the Open column may show the invoice's payment status, for example Overdue, Credit loss, Void, Marked as paid, Not fetched yet or Not tracked. Invoices whose payment details have not been fetched yet are not counted in the open total. If the financial management software prevents fetching the payment details, a notice and a link to instructions are shown above the list. See Payments.

With other invoicing systems, payments are tracked in the financial management software, and these columns are not shown.

Payments tab

When Maventa, ProCountor, Netvisor or Fennoa is used, the customer's page also has a Payments tab. It shows the payments allocated to the customer's invoices: date, payment method, the invoices the payment was allocated to and the allocated amount. Clicking a row opens the payment. A payment that has not been allocated to any invoice is not shown in this list, only on the Payments tab of the Invoicing section. See Payments.

E-invoicing details

The customer's e-invoice address and operator are saved on the customer's Home tab under E-invoice address. The button Look up e-invoice address (shown when the customer has a Business ID) looks up the e-invoice addresses found for the Business ID; click the address you want and it is copied to the customer's details. Remember to save the customer's details.

When Maventa is used, you can also choose the E-invoice format setting for the customer: Standard (Finvoice 3.0) or S-ryhmä (S Group). S Group requires the invoice to have a purchase order number, a delivery note number, the delivery date, the payment terms, the seller's VAT number, and the delivery address and store number of the receiving store. The store number is set in the delivery location's details.

The Document language on the customer's Home tab determines the language in which the customer's invoices are printed.
