Maventa: e-invoicing

BrewOS is integrated with the Maventa e-invoicing service. Through Maventa, invoices approved in BrewOS are sent to customers as e-invoices in Finvoice 3.0 format. The Maventa account is free of charge for your company, but every e-invoice sent from BrewOS costs 50 BrewOS service credits.

When Maventa is used, invoices are approved, numbered and credited in BrewOS, and customers' payments are recorded in BrewOS by hand as payments so that accounts receivable stay up to date. See the comparison in the Invoicing guide.

On 1 October 2026 Maventa merged under the Inexchange brand, and Maventa Oy's official company name is now Inexchange Oy. This does not affect BrewOS's Maventa integration: your Maventa account, API key and company UUID work as before. Invoices from Maventa are now payable to Inexchange Oy.

Supported features

BrewOS supports sending

  • sales invoices and
  • credit notes through Maventa.

You can also find all invoices sent from BrewOS by signing in to your Maventa account. Through Maventa you can also get other services if you wish, such as a receivables monitor or Visma Duetto debt collection.

Getting started

  1. Open a Maventa account for your company.
  2. Get the API key and your company's UUID identifier from your Maventa account.
  3. In BrewOS, open Settings > Invoicing and choose Maventa settings at the bottom of the page (requires the owner role).
  4. Enter the details in the fields API key and Company UUID.
  5. Press Save changes and enable Maventa. Saving immediately makes Maventa the account's invoicing system and replaces any previous system.

Also check the invoice number, payment terms and bank account number on the Settings > Invoicing page, see Invoicing.

The customer's e-invoice address

An e-invoice can only be sent to a customer who has both an e-invoice address and an e-invoice operator saved. They are saved on the customer's Home tab. The Look up e-invoice address button fetches the addresses found with the customer's Business ID, see Customer invoicing.

Save the e-invoice address before approving the invoice. An approved invoice keeps the customer details as they were at the moment of approval, and the Send e-invoice button is not shown if the address was missing at that time.

If the customer has no e-invoice address (for example foreign customers), send the invoice some other way, for example as a PDF file (Documents > download PDF). BrewOS does not ask Maventa to print the invoice on paper. If the customer's details lack the e-invoice address or operator at the time of sending, BrewOS says The customer has no e-invoice address – the invoice was not sent to Maventa. Print the invoice or send it manually (PDF). and charges no service credits.

You can also set the customer's e-invoice format setting to S-ryhmä if the invoices go to the S Group (the default is Standard (Finvoice 3.0)). The setting is shown on the customer's page only when Maventa is used. The S Group requires the invoice to have a purchase order number, a delivery note number, the delivery date, the payment terms, the seller's VAT number, and the receiving store's delivery address and store number; the store number is set in the delivery location's details. The invoice page shows the warning The S-ryhmä e-invoice is missing details if the invoice lacks any of these.

Sending an invoice

  1. Create the invoice and press Approve, see Invoicing.
  2. On the approved invoice's page, press Send e-invoice.
  3. BrewOS charges the service credits and adds the invoice to the sending queue (notice Invoice added to the sending queue). If there are not enough credits, the notice The BrewOS account does not have enough service credits is shown and the invoice is not sent.
  4. BrewOS sends the queued invoices to Maventa every few minutes.

The sending status is shown on the invoice page and in the invoice lists:

  • Awaiting sending – the invoice is in the BrewOS sending queue,
  • Sent to accounting – Maventa has received the invoice,
  • Sent to customer – Maventa has reported the invoice as delivered,
  • Error: Transferring the invoice to accounting failed. – sending or delivery failed.

Once the invoice has been sent, the Send e-invoice button disappears. If sending fails, find out the reason in your Maventa account and send the invoice again with the Resend e-invoice button on the invoice page. Resending charges the service credits again.

A credit note is sent the same way: approve the credit note draft and press Send e-invoice.

Bank network connection

If you send e-invoices to customers who use a bank as their e-invoice operator, open a bank network connection in your Maventa account settings.

Opening a bank network connection is free of charge and takes about a week.

To open the bank network connection you must sign an electronic document. With it you authorise Inexchange Oy (formerly Maventa Oy) to open a bank network connection on your behalf for sending and receiving electronic invoices, and you confirm that you have the right to represent your company in these matters. You do not need to be a person with signing authority for your company. The signature requires strong electronic identification with your personal online banking credentials or a mobile certificate.
