Netvisor integration
If you use Netvisor for accounting, you can transfer sales invoices prepared in BrewOS to Netvisor. BrewOS does not charge for the transfer, but Netvisor charges for receiving data electronically according to its own price list.
When Netvisor is used, Netvisor numbers the invoices: BrewOS exports the invoice to Netvisor as a draft invoice, and the invoice is approved and sent to the customer in Netvisor. Credits and payment recording are also done in Netvisor. BrewOS then has no Approve or Credit button. BrewOS fetches the invoices' payment details from Netvisor automatically, see Payments. See the comparison in the Invoicing guide.
Getting started
- In Netvisor, create an API user on the company settings page Ohjelmistorajapinta ja tunnisteet with the button Luo uusi rajapintatunnus.
- Grant BrewOS access rights on the company settings page Rajapintaresurssien oikeudet, either all resources of the Sales (Myynti) section or at least the following:
- customerlist.nv (fetching the customer list)
- customer.nv (importing customer details)
- getsalesinvoice.nv (fetching sales invoices and credit notes)
- salesinvoice.nv (importing sales invoices)
- salespaymentlist.nv (fetching sales payments; BrewOS uses it to fetch the invoices' payment details)
- getproduct.nv (fetching product details)
- product.nv (importing product details)
- In BrewOS, open Settings > Invoicing and choose Netvisor settings at the bottom of the page (requires the owner role).
- Copy the API credentials into the fields User identifier and Key.
- Press Save changes and enable Netvisor. Saving immediately makes Netvisor the account's invoicing system and replaces any previous system.
The fields are shown empty on the settings page even after saving. If you save the page again, enter both values again.
Also make sure that your company's Business ID is saved in the BrewOS company details – the Netvisor connection does not work without it.
Transferring an invoice to Netvisor
- Create the invoice in BrewOS and finish the draft, see Invoicing.
- On the invoice page, press Send to Netvisor.
- BrewOS transfers the invoice immediately. When the transfer succeeds, the notice Invoice sent to Netvisor is shown, and the invoice status is Sent to accounting. The invoice can no longer be edited in BrewOS.
- Check, approve and send the invoice in Netvisor.
- Once Netvisor has given the invoice a number, BrewOS fetches the number, approves the invoice on its own side and marks it with the status Sent to customer. BrewOS checks the situation every few minutes.
Approve the invoice in Netvisor within three months of creating it in BrewOS: BrewOS fetches invoice numbers only for invoices created no more than three months ago. An invoice approved later remains without a number in BrewOS.
In the transfer
- BrewOS looks for the customer in Netvisor by Business ID (for foreign customers, by VAT number). If the customer is not found, BrewOS creates it in Netvisor together with its e-invoicing details. The customer found or created is remembered for subsequent invoices.
- product rows are matched to Netvisor products by the product's EAN code (or by the Valvira number, if the product has no EAN code). If the product is not found, BrewOS creates it in the product group "Juomat". Rows without a BrewOS product (deposits and manually added rows) are exported as products in the product group "Pantit".
- the VAT code is chosen according to the row's VAT class: domestic sales, intra-EU sales or exports outside the EU.
- for an invoice created from a shipment, the delivery address and delivery date are exported.
Note that BrewOS does not update the details of customers that already exist in Netvisor, and customers are not imported from Netvisor into BrewOS.
Fetching payment details
BrewOS fetches the payments of the invoices transferred to Netvisor with the resource salespaymentlist.nv and records them on the invoices as payments, see Payments. If you allowed the resources for BrewOS one by one before payment fetching was introduced, Netvisor blocks the fetch, and a notice is shown on the BrewOS home page and on the invoicing > Payments tab. Add the right like this:
- Log in to Netvisor as a user who is allowed to change the company settings.
- In the company settings, open the page Rajapintaresurssien oikeudet (API resource permissions).
- In the Sales (Myynti) section, allow the resource salespaymentlist.nv (fetching sales payments) and save.
- BrewOS fetches the payment details on its next fetch within a few hours. The payments of invoices already paid are fetched within a week.
If the notice says that Netvisor does not accept the API credentials saved in BrewOS, check the API user's user identifier and key and save them again in the Netvisor settings.
Several customers with the same Business ID
If Netvisor has more than one customer with the same identifier, the transfer stops and the invoice page shows the choice Several customers with the same Business ID were found in Netvisor. Choose where to send the invoice:. Choose the correct customer and press Send to selected customer. BrewOS remembers the choice for the same customer's subsequent invoices.
Error situations
- If the transfer fails, the invoice page shows the notice Error sending to Netvisor: and the reason for the error. The invoice remains in BrewOS as an editable draft; fix the error and press Send to Netvisor again.
- An invoice transferred to Netvisor cannot be cancelled in BrewOS, so the Cancel button is no longer shown: cancelling in BrewOS would not remove the invoice from Netvisor.
- If an invoice transferred to Netvisor still needs to be changed before it is approved, first delete the draft invoice in Netvisor. Then tick The invoice has been deleted from Netvisor on the BrewOS invoice and press Return for editing. After this the invoice can be edited again, cancelled or sent to Netvisor again. If you want to invoice a changed shipment from scratch, cancel the invoice and press the invoicing button on the shipment page again.
- BrewOS cannot see from Netvisor whether the draft invoice has been deleted. Return the invoice only if you have deleted it: otherwise the next sending creates a second copy of the invoice in Netvisor. If Netvisor has already numbered the invoice, BrewOS does not return it. In that case correct the invoice in Netvisor with a credit note.
