BrewOS fees

The BrewOS service is chargeable. Fees are per BrewOS account: each company account buys its own BrewOS licences. Registering as a user and opening an account are free of charge, and you can prepare the account (settings, products, recipes, customers) without paying anything. You only need a paid BrewOS licence once you record products as packaged into stock or release them from stock to customers.

BrewOS licences and service credits are managed on the page Settings > Licence. The settings item of the main menu is visible only to users in the account's Owner role, so only an owner can buy BrewOS licences and credits. The top of the page shows the account's valid balances: Licence for packaging (litres), Licence for deliveries (litres) and Service credits.

Purchases are invoiced to the account. Invoicing requires that the account's Business ID has been saved on the page Settings > Company details. Check the Business ID before your first purchase.

BrewOS licences

BrewOS licences are measured in litres. When you buy, for example, a 10,000-litre licence, your account gets two separate balances of 10,000 litres:

  • Licence for packaging (litres) – consumed when a production batch's packaging is recorded into stock.
  • Licence for deliveries (litres) – consumed when a shipment is marked as delivered. Sales recorded on the warehouse's Export sales tab also consume delivery litres.

The balances are consumed independently of each other. So if you package and ship the same litre of beer, one litre of licence covers its whole journey from production to the customer.

If the licence is not sufficient, BrewOS does not record the packaging or the shipment, and instead asks you to add to your licence.

Validity and order of consumption

  • Each licence bought is valid for 12 months from the time of purchase. Unused litres expire.
  • If the account has several valid licences, BrewOS always consumes the oldest first.
  • When you cancel a shipment marked as delivered or a packaging, the litres it consumed are returned to the licence they were taken from. If that licence has already expired, the returned litres can no longer be used.

Prices

BrewOS licence prices (VAT 0 %):

Licence Price (per litre)
10,000 litres 419 € (4.2 ¢ / litre)
25,000 litres 949 € (3.8 ¢ / litre)
50,000 litres 1,690 € (3.4 ¢ / litre)
100,000 litres 2,490 € (2.5 ¢ / litre)
250,000 litres 4,990 € (2.0 ¢ / litre)
500,000 litres 8,090 € (1.6 ¢ / litre)

The prices are also shown in the price list and on the purchase form.

Buying a BrewOS licence

  1. Open Settings > Licence.
  2. Press Add to your licence.
  3. Choose the number of litres you want. The form shows the price of each option excluding and including VAT, and the price per litre.
  4. Press Buy. The licence can be used immediately, and the purchase is invoiced.

Recommendation and sufficiency estimate

If your account has enough usage history, BrewOS estimates your litre needs for the next 12 months based on actual usage and confirmed production batches. In that case:

  • on the purchase form, the option estimated to be the cheapest is marked with a Recommended badge, and below the form there is a comparison table of the annual cost of the different options and of the litres that would expire unused
  • the top of the page tells you up to which date your current licences are estimated to last and which balance (packaging or deliveries) will run out first.

The estimate is not binding. Because a licence expires in 12 months, a larger package is only worthwhile if you manage to use its litres within the year. You can buy more at any time.

Usage history

Once a licence has been bought for the account, clicking the tile of the packaging or delivery balance opens the Licence usage history. It shows each licence bought, its number of litres, its expiry date and the monthly consumption for packagings and deliveries.

Service credits

Some additional services are paid for with service credits, which are bought separately. Such services include, for example:

  • sending an e-invoice via Maventa (50 credits)
  • checking a company's credit rating from the customer's page (590 credits).

100 service credits = 1.00 euro (VAT 0 %) in purchasing power

A 9 % service fee is added to credit purchases. When you buy, for example, 10,000 credits (value €100), the charge is €109 + VAT.

Credits can be bought 10,000, 50,000 or 100,000 at a time. The smallest purchase is therefore 10,000 credits.

Buying credits

  1. Open Settings > Licence.
  2. Press Add credits.
  3. Choose the amount under Credits. The form shows the charge, the VAT and the total including VAT.
  4. Press Buy.

Each credit purchase is valid for one year from the time of purchase. The oldest valid credits are used first, and credits left unused after a year expire.

Clicking the Service credits tile opens the credit history, where you see each purchase and the charges made against it.

Automatic deletion of unused accounts

BrewOS automatically deletes accounts that are no longer used:

  • An account for which a BrewOS licence has never been bought is closed when it has not been used for 6 months.
  • An account whose last BrewOS licence expired more than 18 months ago is closed if it has also not been used for 6 months.
  • A valid BrewOS licence always prevents the account from being closed.

Use means any signed-in use of the account by one of its users, including through the AI interface.

When an account is closed, the account's owners are sent an email telling them when the data will be deleted. A closed account can no longer be accessed. 14 days after closing, all of the account's data is permanently deleted, and it cannot be restored after that. The account's invoicing and tax event data is archived before deletion because of the retention obligations of bookkeeping.

If you want to continue using a closed account, contact BrewOS support before the deletion date, and the account will be restored with its data.

If you stop using the service, you can download the account's data for yourself before deletion: see Data export.
