Data export

On the Settings > Data export page you can download all of your account's data as a single file. You can use the export, for example, for your own backup, for moving the data to another system or before you stop using the service.

Data export is available only to users with the account's Owner role.

Downloading the data

  1. Open Settings and the Data export tab.
  2. Press Download MySQL file. The download opens in a new browser window.
  3. BrewOS generates the file and your browser downloads it with the name dataexport.sql.

On a large account, generating the file can take a moment. Wait until the download finishes.

File format

The file is a MySQL database export file (SQL). It can be imported into a MySQL or MariaDB database, in which case the data ends up in a database called brewos_export. Handling the file requires technical skills, and it is not meant to be opened with, for example, a spreadsheet program.

Importing the file deletes the database brewos_export if one already exists, and creates it again.

What the file contains

The file contains the account's data, such as

  • company details and account settings
  • customers, delivery locations and customer groups
  • products, prices, EAN codes and ingredients
  • recipes, production batches, measurements and notes
  • warehouses, stock entries and stock balances
  • shipments, invoices, payments and tax events
  • webshop settings, orders and buyer logins
  • excise groups, excise tax returns filed with the Tax Administration and the small brewery relief batch data
  • BrewOS licence and credit purchases and their use
  • the account's users, wage costs and tasks
  • stored files (only those in use, not deleted ones)
  • the account's event log.

Passwords of users and webshop buyer logins and strong authentication keys are not exported. Credentials for external services (for example the Maventa and Allu API keys, the Procountor, Netvisor, Fennoa and Netbaron credentials, the webshops' API keys and the certificates for the Finnish Tax Administration (Vero) interface) are not exported either, so they must be set again if the data is imported into another system.

Note: The file still contains your customers' contact details, invoices and other business information. Store the file carefully, and do not send it unencrypted.

Data export and account deletion

If you stop using BrewOS, download the data before the account is closed, because a closed account can no longer be accessed. Unused accounts are closed and deleted automatically, see BrewOS fees.
